University Marketing and Communications Project Timelines


University Marketing & Communications will view new project requests twice per week (Mondays and Thursdays). Work is limited to two rounds of approval, including copy and design when appropriate. In order to meet the timelines laid out, please provide the scope of the project upfront, which may include budget, quantity, copy, intended audience, etc. 

One to Two Weeks

Print/Web

Small pieces (print/digital ads, email headers, flyers) require one week to finalize content and design. University partners may consider using BVU’s Canva account for basic design needs. Employees can request Canva access by emailing umc@bvu.edu.

Photography

UMC offers photography services to cover events, classes, student activities, athletics, news stories, headshots, and more. After the event, editing of the photos requires one to two weeks—depending on the number of photos taken. Headshot sessions are held two times per year in the fall and spring, and can also be arranged on an as-needed basis.

Promotional Items

UMC assists with ordering promotional items by offering item recommendations, vendor sourcing, and graphic design. Production and shipping times vary by item; a purchase order is needed to finalize the order.

Two Weeks

Web

Creation of landing pages, academic program pages, and/or other singular webpage needs require two weeks to finalize content and design.

Two to Four Weeks

Print

The majority of print pieces (brochures, invitations, mailings, postcards, and programs) require one week to finalize content and two weeks to finalize design. Printing time typically requires up to an additional ten days after the approval of a pdf or hard copy proof. For mailings and postcards, we will need data before files are sent to the printer. Printing estimates are available upon request and take up to two business days.

Three Weeks

Mass Communications Pieces

Communication items like articles, press releases, event notices, media notices, and/or stories require three weeks to determine newsworthiness, write the piece, coordinate reviews and approvals with all constituents, and ultimately distribute the piece in advance of an event or print deadline.

Three to Four Weeks

Web

Creation of microsites or multiple webpages requires one to two weeks to map out the framework and link cross-promotion. It requires an additional two weeks to finalize content and design.

Four to Six Weeks

Video

The UMC team needs a minimum of four weeks to map out, film, and edit videos. The turnaround time can increase, depending on the time of the year and the length of the video.

One to Two Months

Newsletters and/or more complicated print pieces require two weeks or more to finalize content and four weeks to finalize design. Printing time is additional and typically requires one week to 10 days.

Environmental Branding

Branding of rooms, buildings, hallways, and lounges should be done through UMC to allow for a cohesive look and feel across campus. Requests of this magnitude take time and careful consideration. By providing goals and functions of the space as well as budget, UMC  can provide the best recommendation. Designing the space and getting proper measurements takes up to three weeks. Once designs are approved, UMC needs an approved purchase order to proceed. Production and installation of the items depends on vendor availability. Freshly painted walls need to cure a minimum of one month before artwork can be installed, so please take this into consideration for the overall timeframe.

Three to Six Months

Lengthy publications such as annual reports, cases for support, donor reports, and magazines require one month or more to finalize content and up to three months to finalize design. Printing time is additional and typically requires one week to 10 days.
